Spare Parts Inventory: 7 Habits That Stop Stock Loss
· 2 min read
· MotoCore TeamIn a spare parts business, money sits on the shelves. Thousands of small items, similar part numbers and several people selling from the same stock make it easy for the numbers in your register to drift away from what is actually in the rack. These seven habits keep stock accurate, with or without software.
1. Give every part one identity
Decide one part number and one name for each item and use it everywhere: purchase, sale and stock count. Duplicate entries such as "Brake shoe" and "Brake-shoe set" for the same item are the most common cause of "the system says 10, the shelf has 0".
2. Record purchases before the stock goes on the shelf
If goods are sold before the purchase is entered, your stock goes negative and nobody trusts the numbers again. Make receiving (checking the delivery against the purchase order) a fixed step.
3. Know where each item lives
When you have more than one counter, store or warehouse, record stock per location. Transfers between locations should be entries too, not just a phone call.
4. Set reorder levels for fast movers
Filters, brake pads, chains and other fast-moving parts should never run out. A reorder level per item tells you what to buy before the customer is turned away.
5. Count a little, often
A full stock count once a year is painful and still leaves eleven months of drift. Counting one section or brand each week keeps differences small and easy to explain.
6. Scan instead of typing
Typing part numbers at a busy counter causes mistakes. Barcode labels and a scanner make billing faster and stop the wrong item being sold.
7. Look at what actually sells
Slow-moving stock ties up cash. Regularly reviewing which items sell, which do not and what margin each brand earns tells you what to stock more of and what to stop buying.
